DISPUTE A COLLECTION LETTER · NETHERLANDS
A debt collection letter. But the bill does not look right.
Perhaps you do not recognise the order, the amount differs from your agreement or the letter concerns someone else. Pinpoint the problem before replying. This checklist and sample letter help you ask for evidence and explain your position.

You explain why you disagree with the requested payment. ACM ConsuWijzer recommends responding to an incorrect collection bill in writing. A vague statement that you disagree does not identify what needs investigating.
This guide concerns a Dutch consumer bill. A dispute sent to a collector is not a formal appeal against a government decision or a response to a court summons. It does not guarantee cancellation of the debt or an automatic halt to all action.
Useful Dutch terms: vordering means claim, betwisten means dispute and onderbouwing means the supporting explanation or evidence. This is not the US debt-validation procedure.
1. Identify the specific problem
- Unrecognised order: ask which agreement and invoice support the claim. Not recognising an order is different from knowing you never placed it.
- Different agreed amount: compare the confirmation or quotation with the bill and identify the difference.
- Wrong person: explain which details do not match. Do not send an unsolicited copy of your identity document.
- Already paid: follow the payment-check guide and sample reply.
An old invoice, a returned item or a previous complaint does not by itself establish that nothing is owed. Separate what you know from what still needs checking. If you dispute only part of the amount, identify that part and your reason.
Example: an unfamiliar subscription
Fictional situation: Mila receives a €129 collection letter for a subscription she does not recognise. She cannot find an order in her records and cannot yet establish the basis of the claim.
She asks for the agreement, invoice and explanation of the amount. She disputes the claim on the information available to her. She does not invent a cancellation date or another unsupported defence.
2. Keep the relevant evidence together
Keep the letter, reference number and relevant order confirmation, agreement or correspondence. Write a short timeline for yourself. Verify the sender through a trusted channel before sharing documents. Hide unrelated transactions, your balance and unnecessary personal details in attachments.
Briefhelder can explain the letter but cannot independently verify your order or payment. Add only background facts you have checked.
Sample letter: dispute the claim and request evidence
Use your actual reason. Describe uncertainty honestly. Check whether the recipient accepts English; an English explanation with a Dutch draft may be more appropriate.
Subject: disputed claim – reference [number] Dear Sir or Madam, I received your letter dated [date] requesting [amount] on behalf of [original creditor]. Based on the information available to me, I dispute [the claim / the following part: amount and item]. My reason is: [explain the specific issue and the facts you have checked]. Please send the relevant invoice and the evidence supporting the agreement. Please also provide a breakdown of the original balance, interest and collection charges, with an explanation of the calculation. [If applicable: I attach the following relevant supporting documents: ...] Please address my reason and confirm the outcome of your investigation in writing. I request that you pause further collection action during the investigation and confirm whether you agree to this. Kind regards, [Name]
Remove anything that does not apply. Requesting a pause does not mean one has been agreed. Keep your sent message and delivery confirmation.
3. Check the response and watch for deadlines
Does the reply address your actual reason? Do the documents match you and this claim? If information is missing, identify the unanswered question rather than repeatedly sending the same template.
ACM ConsuWijzer explains that a disputed bill can reach court. Do not ignore a summons or new official documents. Seek qualified help promptly if court proceedings, disconnection of an essential service or another serious step is threatened. This article does not decide whether you owe the money.
Is your complaint about charges or how you were treated?
Disputing the bill and complaining about the collector’s conduct are different issues. The Dutch government describes the complaints route: start by writing to the collector and explaining your complaint. If unresolved, check the dispute-resolution body associated with that collector. Complaining does not automatically remove the balance.
If the bill turns out to be correct but unaffordable, see requesting a payment plan. For the broader context, read Dutch collection letters.
Explain clearly why you disagree with the bill
Understand the letter and stated deadlines, and prepare a suitable draft where appropriate. Check your facts, copy or download the response and send it yourself.
