What we process and why
We process the text or photos you provide to explain the letter and prepare a reply, together with your language and jurisdiction choices. Payment status is checked with Stripe. Technical information is used for security and troubleshooting. Optional Google Analytics is loaded only with consent. Letter contents, recipients and payment access tokens must never be sent to analytics.
Providing the purchased service and processing payment are based on performance of the agreement. Security and fraud prevention rely on legitimate interests. Optional analytics relies on consent. Required accounting records are retained for legal obligations.
Do not upload unnecessary sensitive information
Remove identification numbers, bank/card details and personal information that is not needed. Do not upload medical files. Only submit documents you are entitled to use.
Storage and recovery
Your input is temporarily stored in this browser tab to recover from interrupted payment or processing. It is removed after successful analysis or when starting again. Results and edited drafts remain in the tab until cleared; browser session restoration may retain them. Downloaded copies remain on your device.
The result, which can contain personal data, is encrypted on the server for up to 24 hours of recovery. After expiry it cannot be retrieved. Hourly cleanup removes expired content; outages may delay deletion. Usage records without readable letter content remain to prevent duplicate charging. Original text/photos are not stored in the result database.
Provider backups may retain encrypted data longer; the current database backup policy includes daily backups for 30 days and the last ten deployments. Backups are not used to reopen expired results. The report is not emailed.
Providers
Anthropic processes the submitted text/images through its API. Under its standard API policy input/output is deleted within 30 days, subject to contractual, safety or legal exceptions. Netlify hosts the service and encrypted results through Netlify Database/Neon. Stripe processes payments. Google Analytics processes optional usage statistics only after consent. Providers may process data outside the EEA; applicable processing agreements and transfer safeguards must be maintained. Contact us for details.
Cookies and browser storage
Necessary browser storage retains your input, language choices, paid access and results for recovery. Existing subscription access may use local storage. Your cookie preference is stored locally. You can change analytics consent using “Cookie choices” on the homepage. Browser settings can clear stored data; clearing paid access may prevent automatic recovery.
Your rights and contact
You may request access, correction, deletion, restriction, portability or object where applicable. Contact info@briefhelder.nl. We may need to verify your identity. You may complain to the Dutch Data Protection Authority at autoriteitpersoonsgegevens.nl. Withdrawal of analytics consent does not affect earlier lawful processing.
Necessary accounting records may be kept for seven years. Hosting function logs are currently available for seven days; providers may retain their own security records. We do not deliberately log document contents. No customer text is submitted to public searches when checking legal sources.
